Teams and Email Addresses

When a Team is created, an email address is automatically assigned to the Team.

Example: I create a Team named IT. The email address it@mchenry.edu is assigned to the Team.

 

Note 1: The it@mchenry.edu does not have a mailbox. The address is used by Microsoft to store the IT Teams conversations and chat messages. You cannot send an email to it@mchenry.edu

 

Note 2: Once it@mchenry.edu is assigned to the Team, it is unavailable for other purposes.

 

Note 3: If there already exists an email address that matches the Team name when the Team is created, a different email address will be assigned.

 

Example: I create a Team named IT. The email address it@mchenry.edu already exists, so the IT Team will be assigned the address it2@mchenry.edu. Same rule applies, you cannot send a message to it2@mchenry.edu.

 

In addition to the non-usable Team email address, each Team channel also gets an automatically assigned email address. This address does have a mailbox. You can use this address to send a message to a Team channel. When the message is received in Teams, it will appear on the Posts page. It will also be stored in an automatically created folder within the Files section.

 

To find the Team channel email address, go to the channel, click the ellipsis next to the channel name, and select Get email address. Use the Copy button to copy the address to the clipboard, and paste the address into the To field in a new Outlook message.

 

To set email options for a channel, go to the channel, click the ellipsis next to the channel name, and select Get email address. Then select Advanced Settings to specify who can send messages to the channel.
